The Issue

The client was using excel forms to record and document the presence of invasive weeds onsite. This was proving problematic with users encountering difficulties including poor readability and data entry repetition. Additionally, the spreadsheets required significant administration to be of use.

ERS approached YOPLA Ltd with the intent of developing a web-based app which could be easily used on site.

 

The Solution

Digitising the Excel spreadsheets involved significant consideration of how the app would be used and it was crucial that it displayed well on varying screen sizes rendering it accessible on any device.

After looking at the current process we simplified the stages so that it was an easy to follow, click through application which required little training to understand and implement.

In addition to inputting information, the new application allows users to upload corresponding site photographs enabling visual inspection when required.

The forms are colour coded for ease of identifying completion status, and when finalised can be exported to PDF minimising administration tasks!

Customers enter their details in a webform (just like a regular contact us form) including all the information you need, plus you can add extra options such as choosing a date for a survey or selected product - you tell us and we can include it. Once they hit submit, all the information is pulled over into a database and the magic begins!

When a customer sends their enquiry it triggers the software to automatically send customers a login to a portal where they can track the status of their order any time of the day or night.

Picking appointment times, agreeing proposals, paying invoices, just about anything and everything can be done from within the portal, keeping your admin to a minimum while maximising the customer experience.

Thank customers for site visits, send invoice reminders, or any other info without lifting a finger using the scheduled pre-populated emails option.
